    The app for homeowners

    Custom fields on workspaces

Add a few fields of your own to every workspace, such as a commission figure or a valuation date, and fill them in on the deal. Only your team sees them.

Every workspace already has a name, a stage, a deal owner, finance details and key dates. When your business tracks something else on each deal, an owner or admin can add a custom field for it.

    Adding a field

Open Workspaces, choose the Setup tab, then Custom fields (owners and admins only). Type a name, pick a type and press Add field. Custom workspace fields come with CRM, so the section only shows for businesses that have it.

The seven types are the same as for custom fields on contacts: short text, long text, number, date, choose one, choose several, and yes or no.

You can have 25 workspace fields in use at once, and 50 in total counting archived ones. These limits are separate from your contact fields. A field can't share a name with a standard workspace detail, such as Workspace name, Stage, Deal owner, Lender, Loan amount or any of the key dates (Settlement, Finance clause and so on).

Avoid storing tax file numbers, Medicare numbers or health information in custom fields. Keep identity documents in the workspace's document store.

    Changing a field

Rename, reorder, archive, restore and delete work exactly as they do for contact fields. A field's type can only change while no workspace has a value in it, and a field can only be deleted once it is archived and no workspace has a value in it. A field an automation uses can't be archived, retyped or deleted until that automation is changed.

    Filling them in

Open a workspace. On the Internal view, the Details card under the key dates lists your fields. Tap one, enter the value and press Save, or Clear to remove it.

Anyone on your team who can see the workspace can fill in its fields. When your company uses branches, people only see, and change, the fields of workspaces in their branches.

    Who can see them

Workspace fields are for your team only. Clients never see them: not on their own workspace, not when you switch to View as client, and not in any text or email Marketli sends. Other businesses on the same deal, such as a buyer's agent, don't see them either. If a workspace moves to another business, your fields' values on it are deleted, so they never pass to the new business.

Custom date fields don't appear on the calendar yet, and automations can't use them yet.
