    Merging and deleting contacts

    Combine two records for the same person, or remove a contact for good.

    Anyone on your team can merge two contacts that are the same person, and delete a contact for good. If your business uses branches, you can only merge or delete people you can see. If you only want someone out of your lists, archive them instead: archiving keeps their history and can be undone.

    Merging two contacts

    Duplicates usually happen when the same person enquires twice, or when someone was archived and later enquired again. To merge:

    • On Contacts, tick exactly two people and choose Merge.
    • Or open Check shared details and choose Merge these two on a pair.
    • Or open a contact, choose the ... menu next to the edit button, then Merge with another contact... and find the other record.

    The merge screen shows both records side by side:

    1. Choose the record to keep. It is picked for you: the one with a Marketli login, otherwise the one with more history.
    2. Choose what to keep for any detail that differs, such as the name or phone number.
    3. Check After the merge and choose Merge contacts.

    Everything linked to the other record moves onto the one you keep: leads, workspaces, tags, emails, text conversations, calls, appointments, bookings, form submissions and review requests. The other record is then removed. A merge can't be undone.

    A few things are decided for you:

    • The status goes to the furthest along of the two, so a current client is never turned back into a lead.
    • Marketing emails stay on only if both records had agreed to them.
    • If both records had a review request still open, only the newest one keeps sending reminders.

    Two records can't be merged when each has its own Marketli login. That means two people, or one person with two accounts, and merging would hide one login's workspaces and chats. Archive one instead.

    If the records were marked as different people who share an email (a couple, for example), you'll be asked to confirm before merging.

    Deleting a contact

    • On Contacts, use the bin icon on a row, or tick people and choose Delete selected.
    • Or open a contact and choose Delete contact... from the ... menu.

    The delete screen lists exactly what happens:

    • Deleted for good: the contact, their tags, their leads (with notes and history) and their links to workspaces. The workspaces themselves stay.
    • Kept, but no longer linked to a contact: emails and texts already sent, calls, appointments, bookings, form submissions and review requests. These still show the name and address they were sent to.
    • Kept as they are: unsubscribes and text opt-outs, so anyone who opted out is never contacted again, and the person's Marketli login and workspace access.

    Any automations or review reminders still going to them are stopped. If the contact has leads, workspaces or a login, you type their name to confirm.

    Deleting several at once works for contacts with no leads, no workspaces and no login, up to 50 at a time; you type how many to confirm. Anyone with more attached is deleted one at a time, so you can see what goes with each.
