Follow-ups and scheduled messages
Schedule an SMS and email to go out to a lead on a future date, watch what happened to it, and cancel it if plans change.
A scheduled follow-up is a message you write now that sends by itself later. You set them per lead.
Scheduling one
- Open the lead to bring up its detail sheet.
- Find the Follow-up field and click Schedule a follow-up message.
- Set Send on. It defaults to 9:00am tomorrow. It has to be in the future.
- Turn on SMS, Email, or both — at least one is required.
- Click Schedule.
The SMS panel
Write your message in the box. Underneath, a counter shows the character count and how many SMS segments it will use.
You can insert one of your saved SMS templates from the picker — note that it appends to whatever is already in the box rather than replacing it, so clear the box first if that is not what you want.
Two placeholders work here: {{first_name}} and {{name}}.
The panel is switched off, with the reason shown, if the lead has no phone number, or if your company has not connected a number yet.
The email panel
Fill in the Subject and body. The same two placeholders work.
If you have more than one connected inbox you also get a Send from picker. Email sends from your connected inbox, so replies land in your normal mailbox. The panel is switched off if the lead has no email address, or you have no inbox connected — see Connecting your inbox.
Automations run alongside it
Any Lead follow-up automations you have built also fire when the scheduled message comes due. So the scheduled message is your one-off, and the automation is the repeatable sequence that hangs off it. See Lead follow-up automations.
Checking what happened
Scheduled messages are listed under Scheduled messages on the lead, each showing its send time and a status:

| Scheduled | Queued, has not run yet. |
| Sending… | Running right now. |
| Sent | Went out. |
| Skipped | The run happened but a channel had nothing to do. |
| Failed | Something went wrong. |
| Cancelled | You cancelled it. |
Each row also has SMS and Email chips showing the per-channel outcome in plain English once it settles — for example sent, no phone number, no inbox connected, opted out of SMS, message too long, email address suppressed or carrier rejected it.
Cancelling one
Click the X on a scheduled row. Anything already sent stays sent.
