Sending documents to sign
Send your own documents, such as a privacy consent or an engagement letter, to clients to sign electronically, and get the signed copy back in Marketli.
You can send a client one of your business's own documents to sign electronically: a privacy consent, an engagement letter, a fact find declaration or a credit guide acknowledgement. When everyone has signed, the signed copy is saved against the client in Marketli.
Document signing is being introduced gradually. If you don't see Documents in the menu, under Process, it isn't switched on for your business yet.
Setting up document signing
Open Documents in the menu (under Process) and press Set up document signing. Anyone on your team can do this. It uses your brand kit, so clients see your business name, colours and logo when they sign. If you change your brand kit later, press Refresh branding.
Adding your documents
Press New document, then:
- Choose the PDF your clients will sign (up to 25 MB and 60 pages) and give it a name.
- Add who signs, up to four people, for example Borrower 1 and Borrower 2.
- Pick a field and click the page where it goes: Signature, Name, Date, Initials or Text. Drag a field to move it and drag its corner to resize it. Every signer needs at least one Signature.
- Press Save.
A document is reused for every client you send it to, so keep it free of any one client's details. The wording is your business's responsibility.
To change where people sign, press Edit. Changes apply to documents you send from then on; anything already sent stays as it was. To change who signs or use a new version of the PDF, choose Replace PDF: it saves a new version, and documents already sent keep the old one. Remove stops a document from being sent; anything already sent can still be signed.
Documents Marketli set up for you before you could add your own can't be edited here. Replace them with a new upload, or ask support to change them.
Turning it off
An owner or admin can press Turn off document signing. Anything waiting to be signed is cancelled and its links stop working. Signed copies stay on each contact.
Sending a document
You can send from a contact or from a workspace:
- On a contact: in Documents to sign, press Send for signature. If the document needs more than one signer, choose the others from the people who share a workspace with that contact, such as a partner on the same loan.
- On a workspace: open the Documents tab, press Send for signature and choose who signs from the workspace's clients.
Choose the document and how to send it:
- Email goes from your connected inbox, or your business's email domain, the same way your other messages to clients do.
- Text goes from your usual line.
- Copy link shows each signer's link once, so you can send it yourself. Copy it straight away: it isn't shown again.
Each signer gets their own private link. Links expire after 14 days.
What your client sees
Your client opens the link, sees your business name and the document, and presses Continue to sign. They sign on their phone or computer, with their finger, mouse or by typing their name. When they finish, they see a thank-you page. If someone else still has to sign, it says who.
Your client doesn't need a Marketli account.
Following up
Each request shows who has opened and who has signed. You get a notification when everyone has signed, or if someone declines.
- New link makes a fresh link for a signer who hasn't signed yet and copies it for you. Their old link stops working.
- Cancel stops a request. If the last person had already signed, it stays signed.
The signed copy
When everyone has signed, press View signed copy. The signed PDF includes a signing certificate page showing when each person viewed and signed the document and from what device.
Signed copies are kept with your business. An owner or admin can delete one, for example when a client asks for their information to be removed.
Good to know
- Some documents must be witnessed or signed in a particular way. Electronic signing isn't suitable for those. Check with your compliance adviser if you're unsure.
- Businesses whose contacts are kept on their own dedicated database can't send documents to sign yet.
