    Key dates on a contact

Keep a client's settlement date, fixed rate expiry, interest-only expiry and loan end on the contact itself, even when there is no deal in Marketli.

Some of your best clients settled years ago, before Marketli, so there is no deal to hold their dates. Key dates live on the contact instead. They come with the CRM module: you do not need CRM pipelines switched on to use them.

    There are four:

    • Settlement: when the loan settled.
    • Fixed rate expiry: when a fixed rate rolls off.
    • Interest-only expiry: when an interest-only period ends.
    • Loan end: when the loan term finishes.

The first three mean the same thing as the key dates on a deal.

    Adding and changing dates

Open the contact. The Key dates card shows all four. Tap one, pick the date and press Save. To remove a date, open it and press Clear. The soonest date still to come is highlighted.

You can also set them in Edit contact, under Birthday.

Anyone in your team who can see a contact can change its key dates. When your company uses branches, people only see, and change, the dates of contacts in their branches. An archived contact's dates can't be changed until it is restored.

Bringing in dates for a whole book

There are two ways, depending on whether the people are already in Marketli. Both are on the Import button on the Clients screen. See importing contacts for the import itself.

New people. Choose Add new contacts. Columns headed Settlement date, Fixed rate expiry (or Rate expiry), Interest only expiry (or IO expiry) and Loan end are matched automatically. The dates go onto the new contacts the file creates.

People you already have. Choose Add key dates to existing contacts. This mode never adds anyone and never holds anything for review. Each row is matched to one of your contacts by:

    1. Contact ID, the first column of a Marketli contacts export.
    2. Email, exactly as it is on the contact, when the row has no Contact ID or its Contact ID matches nobody you can see (for example, a contact that has since been merged).

Phone numbers and names are never used to match, because two people can share them.

Only blank dates are filled. If a contact already has a settlement date, the file's settlement date is ignored for that person, so running the same file twice is safe.

When it finishes, every row gets an outcome:

    • Dates added: at least one blank date was filled.
    • Already had a date (kept): every date in the row was already set on the contact, so the contact's dates were kept. The finished screen lists which ones.
    • No matching contact: no contact you can see has that Contact ID or email.
    • More than one contact has this email: use the Contact ID instead.
    • Contact is archived: restore the contact first.
    • A date is not a real date: nothing in that row was saved. Fix the cell and run the file again.

Dates are read as day/month/year or year-month-day. If a date column has any dates that only make sense month first (like 05/13/2021), the preview warns you, and dates in that column that could be read either way (like 03/04/2021) are left blank rather than guessed.

A quick way to fill dates for contacts with no email: export your contacts, add the dates to the export in a spreadsheet, and import it with Add key dates to existing contacts. The Contact ID column does the matching.

    Merging and exporting

When you merge two contacts, a key date only one of them has is kept. Where both have a different date for the same thing, you choose which one to keep.

The contacts export includes the four key dates as columns.
