    Milestones and CRM pipelines

    Two different stage systems: the client-facing milestones built into every workspace, and your company's own CRM pipeline stages with auto tasks and communications.

    Marketli tracks a deal in two ways at once, and it is worth understanding which is which.

    • Milestones are the client-facing progress steps. They are built in, the same for everyone, and your client sees them.
    • CRM pipeline stages are your internal board. Your company defines them, and clients never see them.

    A workspace can be on both at the same time.

    Milestones

    The milestone list depends on the deal type.

    Buying: Preparation, Search, Offer Submitted, Acceptance, Approval, Pre-Settlement Inspection, Settlement, Post Settlement.

    Selling: Appraisal, Preparation, Listing, Offers, Acceptance, Settlement. The Appraisal step drops off once a sales agent joins the workspace.

    Refinancing: Preparation, Loan Health Check, Compare Options, Application, Approval, Docs & Discharge, Settlement, Post-Settlement.

    Changing the milestone

    1. Open the workspace Home tab.
    2. Click the stage progress bar or the current-stage pill.
    3. A drawer opens — Advance Milestone going forward, Go Back going backward.
    4. Swipe or use the arrows to pick the one you want. The current one is badged Current Milestone.
    5. Press Confirm Change.

    If something has to happen first, the confirm button is disabled and the reason is shown right there.

    CRM pipeline stages

    Pipelines are set up under Company → CRM → Company CRM by an admin. Turn on Enable CRM for your company, create a pipeline, then add stages to it.

    There are no default stages. A new pipeline is empty until you add stages yourself, or install a template.

    Moving a deal between stages

    1. Workspace Home tab, Deal stage card.
    2. Click the stage button — it shows the current stage, or Pick a stage if the deal is not on the board yet.
    3. Choose the new stage. If your pipeline defines pathways, the options are grouped under Back and Forward.
    4. The confirmation dialog opens (below).

    Moving between pipelines

    The Deal stage card has a Pipeline dropdown in its top-right corner, shown when your company has more than one pipeline. Pick the other pipeline, then pick a stage on it. The confirmation dialog shows a Moving to a different pipeline banner, and the deal's tasks and history move with it.

    From the board

    On the Workspaces screen, switch the layout to kanban and toggle from Client stages to CRM. Drag cards between columns. Columns you cannot move to from the current stage are dimmed. Deals not yet on the board sit under Unassigned.

    What happens when you move a stage

    Every CRM stage move goes through a confirmation dialog, and this is where the automation happens. It can offer you three things, each individually tickable:

    Auto tasksThese tasks will be created — untick any you don't want.

    Checklists — company checklists added to the deal.

    Send communications — one row per communication configured on that stage, showing the channel and who it comes from. You can expand a ticked message and edit its subject and body before it sends, with a live SMS segment counter. Nothing sends silently.

    Rows that cannot send are disabled with the reason, for example No mobile number on file for this client, No company number to text from — connect one in Company → Phone, or This client unsubscribed or a previous email bounced.

    The confirm button spells out exactly what you are about to do — Move, create 2 tasks & send 1 message.

    Configuring stage communications

    Company → CRM → pick a pipeline expand a stage → Communications → Add communication. Set the Channel (Email, Chat or SMS), a Name (internal only — the mover sees it in the send list), the message, and whether it is On by default. Merge fields can be inserted from chips.

    Auto tasks are configured in the same expanded stage under Add auto task.

    Pathways and overrides

    If you move a deal somewhere your pipeline does not define a pathway to, you get This isn't a defined pathway and a list of where it can go. Admins can choose Move anyway (admin override); everyone else is asked to get an admin to move it or add the pathway.

    Unfinished checklists produce a warning but never block the move.
